Room Bookings

Small group wkring on a projectWe have two rooms in the library which are available for bookings by the public: the Birch Room and the Pine Room. These rooms are intended for group study and small meetings. The rooms cannot be used for commercial purposes, such as paid tutoring or for the sale or promotion of goods or services.

Room bookings and inquiries can be made in person at our second floor Information Desk or by phone at (780) 410-8602. Please read the guidelines (below) to ensure that your group satisfies them.

No public bookings in June.
Public bookings for July and August start June 3, 2017.

Pine Room Seats up to 4 people
May be booked by individuals or groups
Birch Room Seats up to 12 people
May be booked by groups (not individuals)

Please note that library programs take precedence in these rooms, and library programs will continue during busy study months. The following restrictions apply to the booking of these rooms:


  • Groups (or individuals) may only book one room once per month. Groups may not make multiple room bookings in a one month period under different member names. Groups are welcome to meet elsewhere in the library on a drop-in basis.
  • Rooms cannot be booked during the key study months of December, April and June. During these months, groups are welcome to meet elsewhere in the library or on a drop-in basis.
  • Room bookings are free of charge to the public.
  • Bookings must end a ˝ hour prior to the library’s closing time (ie- 8:30 p.m. on weeknights, 4:30 p.m. on weekends).
  • If groups/individuals do not arrive within the first 1/2 hour of their booking, the room reverts to drop-in, "first come, first served" usage. Drop-in room users will not be asked to leave if the booked group arrives after the first 1/2 hour of their booking.

Room Uses:

  • Rooms are primarily intended for group/individual study as well as meetings and book clubs
  • Rooms can only be used for non-commercial purposes. If attendees are being charged to attend the meeting, the free library meeting rooms cannot be used.
  • Rooms cannot be used to sell or promote any products,  services, or programs (for example, tutoring and paid classes) or to train people to sell products or services.
  • We cannot accept bookings for paid tutors (this is considered a commercial purpose).
  • We cannot accommodate birthday parties.

Room Set-up:

  • The library does not lend out audio-visual equipment (ie- extension cords, projectors). Laptops may be borrowed from the Check Out Desk at the time of your booking but they cannot be pre-booked and we cannot guarantee their availability at the time of your booking.
  • You may re-arrange the furniture in the room during your booking but please return all chairs and tables to their original positions when your group is finished with the room. Library staff cannot set-up a room or re-arrange furniture for you. Tables and chairs cannot be moved in or out of the rooms.
  • Personal food and beverages are allowed, but alcohol and catered food are not allowed.

Drop-in Rooms

Some rooms in the library cannot be booked and are for use on a drop-in basis only. The non-bookable (drop-in only) rooms include:

Main floor
Spruce Room Located under the stairs
Carrels for individual silent study
Second floor
Maple Room Tables and chairs for group study
Aspen Room Chairs around a single table
Willow Room Soft chairs with tablet arms

Second-floor rooms can be used for group study, small meetings, book club meetings, etc., on a first-come, first-served basis. Please note that library program bookings take precedence over drop-in use of these rooms, and library programs will continue to run during busy study months (April, June, December).

Storybook Cottage and Readmore Hall

The program rooms in the Enchanted Forest (Storybook Cottage and Readmore Hall) are not available for outside bookings at this time.

Community Centre Rooms

There are also meeting rooms available just outside the library building, in the Community Centre complex, administered by Strathcona County. These are also available for booking by the public.
